From web form to CRM in seconds: stop losing leads to your own admin
Czytaj po polsku: wersja polska
A lead fills in your contact form at 9:14. In a well-run business, someone is on the phone by 9:20. In most businesses, the form emails a shared inbox, the email gets skimmed at lunch, the details get typed into a spreadsheet on Thursday, and by then the prospect has already booked with whoever replied first.
The gap between “enquiry arrives” and “someone acts” is where small businesses quietly leak their best leads. Closing it doesn’t take a sales team or an expensive CRM. It takes a pipe that moves the lead from the form to a human’s attention without a person in the middle.
The shape of the pipe
Every version of this automation is the same four moves:
- Capture the form submission the moment it happens.
- Enrich it with anything you can look up automatically.
- Store it in one place, deduplicated.
- Alert the right person — fast, with enough context to act.
You can build all four in an afternoon with a no-code tool. The value isn’t the tooling; it’s that the lead never sits in a queue waiting to be re-typed.
Capture: one trigger, every channel
Point your web form (and your other intake channels — a landing page, a chatbot, a “book a call” button) at a single trigger in Make or n8n. The aim is one front door: no matter how a lead arrives, it enters the same flow with the same fields. If you capture nothing else, capture name, contact, what they want, and where they came from.
Enrich: do the lookups a human would skip
This is where a little automation beats a busy human. Before the lead even reaches your CRM, enrich it:
- Resolve the company from the email domain.
- Pull obvious public details (company size, location, sector).
- Have an AI step write a one-line summary: “Roofing firm, ~15 staff, asking about quote automation, came from the KSeF article.”
The salesperson should open the alert already knowing who this is and why they’re worth a call — not start a research project.
Store: one record, no duplicates
Write the enriched lead to your CRM or a simple Airtable/Sheet. Deduplicate on email or phone so a repeat enquiry updates the existing record instead of creating a twin. A clean, single source of truth is what lets you later see which channel actually produces customers — the question every owner eventually wishes they’d tracked from day one.
Alert: make it impossible to miss
The final step is the one that recovers the revenue. Push a notification where the owner already lives — a Slack message, a WhatsApp, an SMS — containing the AI summary and a one-tap way to act (call, reply, or book). The message that fires in 30 seconds, with context, is worth more than a perfectly-formatted CRM entry nobody opens.
Where to start
Don’t build the whole thing at once. Wire just capture → alert first: form submission to an instant, context-rich ping. Live with that for a week and watch your response time collapse from hours to minutes. Then add enrichment, then dedup, then reporting. Speed first; polish later. The lead you answer in five minutes is the one you keep.
